New Booking Software 'TeamUp' At TDR Academy From 12 Nov 2022

We Are Changing Our Booking Software at TDR Academy!

Big decision made! I have been working away at this for the past 6 weeks - TDR Academy is leaving Mindbody!

My hope is that our new business software will bring more ease of use and automation for you and for me!
So I am hoping this process will be easy for you!  Exciting.....and a tad scary!

I hope to go live with TeamUp from Saturday 12th, now.
If you are attending from 14th Nov onwards, you need to complete your sign up prior.

{UPDATE & ACTION REQUIRED} When you receive the invitation to sign up with TeamUp, you will know we are live!

Please read this entire post to keep you abreast of what is changing and what to do going forward (sorry it's a long one but I need to keep you informed of the changes).

Not Currently Attending TDR Academy?

If you aren't currently attending TDR Academy, but intend in the future, you can sign up when suits, but aim to use the email with the invitation link to sign up to create your new account with us going forward.

If you still wish to be kept up to date, I am updating the email options - so please take the time to complete this part, and read the rest when you choose!

You can update your email preferences with us here OR update when you sign up to TeamUp and get the welcome email with the email links. (Or use the link at the very bottom of this email.)

In the welcome email you will also get the access to all other social media links to stay connected with information and free video content notifications!

Currently Attending TDR Academy?


Learning a new system always has pro's and con's and I am hoping there will be more pro's about this software than the con's of Mindbody.
I will be learning alongside you so please be patient and bear with me as I navigate through it's use and how to work out it's full use and capabilities.

If you have any questions or issues, please do get in touch with me as I will try my best to help and seek advice as needed to help the process.

NOTE! If you are attending TDR during the week of 14th November, you will need to sign up this weekend to ensure everything will be smooth and that you have all forms complete online and have eg the new zoom links to the classes. Any probs, drop me a text! Also be sure to bring a payment card with you if you need to pay for anything when in, as prebookings had to be nominated as payment by card reader - so we need access to a credit or debit card until you can pre book and have all details entered.


TEAMUP SIGN UP


When you get the sign up email, go through the needfuls:

  • Click on the link and set up a new password. If you have used TeamUp before, you can use the same password and just select TDR Academy to bring you to your account with us.

  • Read and agree to TeamUp's terms and conditions and policies,

  • Read and agree to Tanya Ross | TDR Academy's terms and conditions and policies - as some will have changed,

  • Please complete all online waivers and forms to help me stay up to date with your details whilst adhering to strict professional guidelines and standards. (Sorry if you have completed these recently on paper, but it's needed going forward online).

  • Please check your class and appointment bookings and that your debit/credit card details in the account are current and up to date.

  • We will be checking that any account payments, credits, bookings and vouchers are all added to your account to keep this as a smooth transition. There may be a prorata payment taken for those on the new monthly memberships (switched from recurring autopays of 6 wks), to line up the account with the next payment for 1st Dec and any outstanding classes that may need to be paid for before this next payment date.

AFTER YOU SIGN UP TO TEAMUP

Important!!! When you get the welcome email after signing up for your TeamUp account, please read the email fully as it will help you in terms of further set up:

* You will be able to get the TeamUp Members APP for your phone and tablets.

* How to set up for other family members and what is best.

* How to set up your card details for any memberships you have - needs to be done before 1st Dec.
* Please subscribe to the TDR Academy Latest News emails as this is how I can keep you informed and not spammed!
* You will also have options to select specific areas that you would like to get emails about. Again I will not spam you, only send content through that will hopefully be of specific interest to you.
* You can subscribe and like any of our social media links to help us stay connected and keep you informed and hopefully provide you with useful content.

Let me know if there is any topics you would like to be emailed about - this always helps me steer in the best direction!

Please note - as you are already in the emailing list - you can sign up and then choose to update your preferences in Mailchimp as requested, as this will bring you to the specific areas to choose from - or click the link at the bottom of this email to go straight to 'update your preferences'.

You can update your preferences at any time to be added or removed to the email lists.
Note - If you unsubscribe, you are unsubscribing from them all. This can be done at any time or you can re-sign up again at anytime if you miss me!


The Changes - Appointments

If you are booked in for an appointment already, just check you are still booked in when you get into TeamUp. Some appointments may not show until mid week from 14th Nov, but keep an eye out on your account to ensure it does appear!

Some appointment may not be able to be booked until we prebook appointments already made on Mindbody previously. Once this is done, the full bookable calendar will be available.

Treatment costs are remaining unchanged as I still ask that you bring your own towels to help me keep the costs down here. Please remember to bring 3 large towels with you to any treatment based session (it's getting colder!). I will have to bring in an additional £2 charge if towels are not brought due to the additional costs that have occurred since the last price increase.

* Late cancellations will now be charged at the full price. Please ensure to cancel your appointment with 24 hours notice to ensure I can fill the appointment. If the appointment is filled (of which I try my very best from the cancellation list), there is no charge, but if unfilled, the charge will be applied.

* No shows, or cancelling with insufficient time to fill the appointment will result in the full fee being charged.


The Changes - Classes & Workshops & On Demand

If you are booked in for classes already, just check you are still booked in when you get into TeamUp. You should be booked in under the same format as before, under the new membership structure.

• Monthly memberships - due to matching up passes left under your current pricing structure and moving you into the new membership structure, there may be a difference in your first bill compared on December 1st, but this should settle down from Jan 1st onwards.

• 6 week passes and drop ins - any passes you have outstanding will be on your account as existing class passes and you will be booked in for the class you had reserved. Remember you will need to purchase a new pack and book yourself in for all classes in future, ie you buy a pack of 1 or 6 and then you book in for 1 or 6 classes (I am looking to see if this can be automated but for now, you will have to select each class and book in for the 1 or all 6 after purchase. This is how you will reserve your mat going forward.


* I have had to review a number of areas with the ever increasing costs. I have had to sadly increase the class prices again. The last increase was for most only a 13p increase per class. There has been two electric price increases since then, so for most IN STUDIO memberships the increase will now be approximately 17p per class, taking into account government help also. All drop in prices have increased by 50p per class.

* On the plus side, there will be different cheaper pricing structure for blocks and monthly memberships for ONLINE ONLY classes. Drop-In ONLINE classes however have increased by 50p.

* Our automatic payment system for booking in permanently for classes going forward will now be a monthly membership set as payment due on the 1st of the month going forward and due monthly rather than every 6 weeks. (An initial prorata payment would be taken if you join mid month.)

* These changes will be reflected in the new pricing system and structure on TeamUp - check out our memberships for all options to suit your journey!



ZOOM LINKS


* ZOOM links - these will be changing. You will now be able to access your booked Zoom class by clicking on the link within the TeamUp APP for the relevant class in your schedule. You can also use the email reminder sent to you on the day prior to your booked class.

NOTE - The old codes are defunct from Friday so these won't work going forward.

* You need to ensure you are booked in to the correct classes going forward for the system to work effectively. You no longer need to contact me to cancel, switch and change as you can do this all from your TeamUp account. Please ensure to update your bookings based on how you wish to attend.


* Please follow these changing/cancellation class guidelines:

ONLINE Classes:


* If you can't attend and want the recording, do nothing! Even if you aren't there I will know to send you the recording.

* If you can't attend but wish to use the class pass at another time within the same month (as opposed to within the 6 weeks previous), cancel as soon as possible and rebook into any other online class. You won't be sent the recording.

* If you wish to switch an ONLINE booking to an IN STUDIO booking, a £1 fee will be asked for to upgrade the membership at the time of booking (£2 if a 2 hour session).



IN STUDIO/HYBRID Classes (Suitable for booking online and in studio classes):


* If you can't attend IN STUDIO and want the recording, cancel your booking as soon as possible and book into the equivalent ONLINE class so I know you want the recording, even if you don't show up. This also frees up a space for someone to attend IN STUDIO as places are limited - the only way catch up classes can open up for you and everyone else.

* If you can't attend IN STUDIO but wish to use the class pass at another time within the same month (as opposed to within the 6 weeks previous), cancel as soon as possible and rebook into any other class. Ideally a minimum of 12 hours notice please.


Waiting List - you can book in for any class that's shown as full and be placed on the waiting list and TeamUp will email you if a space becomes available which you can confirm if you still want it or not.


ON DEMAND LIBRARY


* The current ON DEMAND library of the Zoom classes will be accessible going forward for those on monthly memberships (classes are not downloadable). If the current password or accessibility changes, I will email you or text directly. This will all be reviewed in the future based on usage. Currently it doesn't look like this service is being used so please click the heart on the videos otherwise I don't know you have watched the video.

* New videos will NOT be added from Monday 7th November due to the considerable time and cost that has been involved in building this library. There are over 200 videos currently so something hopefully for everyone when you feel the need!

* Those on 6 week passes and monthly memberships will receive an email after the class with the class recording - access is now available for 7 days. These are currently available as downloadable, but this will also be changing in the new year to viewing only within the 7 days after the class.

* A new ON DEMAND library will be added in the future which will require payment to access video content. I hope to make these of areas of interest, so let me know if there is anything you would like to see available as pay per view or a series of sessions to develop. These are great if you can't attend a class and want to avail of the material covered to do in your own time for a cheaper price than the classes.


Website Update

* The website will be updated in time with all of the necessary links for TeamUp to make this as seemless as possible, and to reflect the new pricing structures.

* The website will also be going through an overhaul at some point soon, bear with me on this - I am not a tech guru and all this takes time outside the work inside TDR!!
